Creating Basic Shipping Quotes - How To

This section is a continuation of learning how to do a shipping quote. However, this section is an example of a quote for freight. These are large and heavy orders and require shipping on a pallet. Many steps will be the same so I will copy them here, but some of the other steps will be different. With freight there are too many variables in quotes that you will need additional assistance while learning.

Begin in SAGE on your Lines tab.

 

See Item Code, Ordered (qty of target), Warehouse, Product Line, and Line Weight.

Scrolling all the way to right is where to find Line Weight.

This example is cardboard. Just remember most of the cardboard weights are not correct in Line Weight. You must look up the weight of each piece of cardboard to get the actual weight.

Step 1: Click on Item Code of the sku#/item/target. i.e. BAC-2.

Step 2: Read Description. In this case it tells you 24” x 45” is the size of the cardboard backer. See screenshot below.

Step 3: Click on Description. The Item Text Maintenance box comes up. Read information about this product. In this case it says the actual weight is .8oz per cardboard backer. Don’t worry about where it says bundle. Bundles are for small batches.

Step 4: Calculate the weight of all the targets by 1200qty x .8 = 960lbs. + 50lbs. 1,010lbs. total weight. Equation is (number of targets) x (actual weight) = (total weight) + (50lbs per pallet for the weight of the wood pallet). This example weighs 1,010lbs. 1 pallet.

Note: Most of the time the actual weight is not in the Item Text Maintenance box. You will need to look it up in a different way. These following are the steps.

In SAGE, go into a new section called Item Inquiry.

Step 5a: In Item Inquiry see field Item Code. Enter Sku# of target. i.e. BAC-2.

Step 5b: Look to the right of Item Inquiry and see a “Clipboard” icon.

Step 5c: Click on the Clipboard icon. This is an Item Memo Inquiry. See next screenshot. It will show different lines of information. In this example see: Shipping    Actual Weight

Step 5d: Click on Actual Weight.

Step 5e: The Item Memo Inquiry box comes up with information about the actual weight. i.e..8oz. each. See 2nd screenshot below

This is the usual way to find out the actual weight.

Note: Sometimes the actual weight is not there. Then we must ask Eddie Crow.

 

 

Before I go onto this, you must know the dimensions, weight and class of a pallet to calculate how much the shipping costs are.

Now we know the cardboard targets are 24 x 45 and the weight of targets + pallet is 1,010lbs.

Next is to determine what the dimensions and class are of the pallet.

Step 6: See the Excel spreadsheet Copy of Shipping document.

Step 7: Look at Size field and find 24 x 45.

Step 8: Read across to #per pallet. It says 1000lbs per pallet. This is how you figure out how many pounds you can put on a pallet and how many pallets you need. Our example 960lbs before adding 50lbs for pallet weight. We will need 1 pallet.

Step 9: See Pallet Dims. For 24 x 45 dimensions are 48” x 45” x 86”.

Step 10: See Class. The class is 125. (This means the density of the items. The lower the number the denser an item. Cardboard is not dense.)

To recap the dimensions of this shipment:  1,010lbs / dims 48” x 45” x 86” / class 125. 

Now we go to StarShip website to get the price.

 

 

 

 

 

 

 

Step 11: Login to StarShip

 

Step 12: Click Create Shipment (bottom right corner) (Can’t see this because I can’t fit it on here. It’s too large.)

Step 13: Click Sender

Step 14: Make sure it is correct warehouse that is shipping product from. This example: “Main” Blaine, MN #000.

Step 15: Click Recipient. Enter address of where the shipment is going to.

Step 16: Click Transportation (This is a new field we haven’t gone over yet. I have attached a screenshot.)

Step 17: See Carrier field. Click down arrow. You will see the options. Pick Old Dominion Freight Lines.

Step 18: Click Check to exit out of this area on right top of this area. (Again, I can’t get the “check” on the screenshot)

Step 19: Click Packaging (see screenshot)

 

 

Step 20: Under Packaging field click down arrow and type in Custom. Pick Custom Pallet.

Step 21: Qty 1

Step 22: Enter Actual Total Weight i.e. 1010

Step 23: Enter Length 48”

Step 24: Enter Width 45”

Step 25: Enter Height 86”

Step 26: Go to right and Click on pencil icon. It will look like below screenshot.

Step 27: See Group field. Click drop down arrow and pick the class. This case is freight class 125.

Step 28: At right corner Click minus line to exit this area.

 

Your screen should look like the above screenshot. The only thing you can’t see is the button Shop All. It is located further down on the page. I couldn’t fit it all in.

Step 29: Click Shop All. See below screenshot. All options for freight companies and pricing displays.

Step 30: Look at the lowest three quotes of basic LTL freight prices. (nothing guaranteed or select options) Pick the most expensive of the lowest quotes.

In this instance, Carrier Old Dominion and Contract Charge of $576.68.

Step 31: Calculate total shipping rate. $576.68 x 1.2 = $692.01. (Remember always add 20% markup).

 

Step 32: Enter $692.01 into the quote in SAGE system on Totals tab Freight Amount field.

Step 33: Click Recalc Price to make sure it is calculated in the Order Total amount.

 

 

Step 34: Once everything is done in Sage in creating a quote, Click Print Order and save to your documents file.

Step 35: Box: Do you want to save changes? Yes

Step 36: In the Sales Order Printing screen (see above) see Print Comments field change to Full

Step 37: Change Doro PDF Writer redirected to Doro PDF Writer.

Step 38: Click Print

Another screen will come up named Doro PDF Writer. See below screenshot.

Step 39: Type the name of your file with the quote number, customer number, customer name, today’s date, person you spoke to make the quote. i.e. Quote 1234567 Cust 9876541 Learning shipping 2-5-26 Anna

Step 40: Click Create

You have created the file for you to copy to customer.
